Welcome to Shadow Chronicle Fitness. We're a combat training facility in Vancouver that takes your privacy as seriously as we take your fitness goals. This isn't just legal boilerplate - it's how we actually handle your info.

When you train with us, sign up for classes, or even just browse our site, you're trusting us with some personal details. We don't take that lightly. This policy breaks down what we collect, why we need it, and what we do (and don't do) with it.

Personal Info You Give Us

When you sign up or contact us, we'll ask for stuff like:

  • Your name and contact details (email, phone number)
  • Billing and payment info when you're purchasing memberships
  • Emergency contacts - because combat training can get intense
  • Health and fitness info (injuries, conditions) so we can keep you safe
  • Your training preferences and goals
Stuff We Collect Automatically

Like most websites, we track some basics:

  • IP address and device info
  • How you use our website (pages visited, time spent)
  • Browser type and operating system
  • Cookies and similar tech (more on that below)
In-Gym Data

When you're training with us, we might also collect attendance records, progress notes from your trainer, and occasionally photos or videos from classes (only with your permission, obviously).

We're not gonna sell your info to some random marketing company. Here's what we actually do with it:

  • Run the gym: Process your membership, schedule classes, handle payments
  • Keep you safe: Track medical info and emergency contacts in case something goes wrong
  • Make you better: Your trainer uses progress notes to customize your program
  • Stay in touch: Send class updates, schedule changes, and gym news
  • Improve our service: Figure out what's working and what needs fixing
  • Legal stuff: Comply with Canadian laws and regulations
  • Marketing (opt-in only): Share special offers or new programs if you've said it's cool

You can opt out of marketing emails anytime - there's an unsubscribe link in every message we send.

We don't sell or rent your personal info. Period. But there are a few situations where we might share it:

  • Payment processors: Companies like Stripe or PayPal need your billing info to process payments
  • Service providers: Our booking system, email service, and website host - but they're contractually bound to protect your data
  • Legal requirements: If we're legally required to disclose info (court orders, regulatory compliance)
  • Emergency situations: We'll contact your emergency contacts if you get hurt during training
  • Business transfers: If Shadow Chronicle gets sold or merges with another gym, your info might transfer (but same privacy rules apply)

That's it. We're not handing your email to every supplement company that asks nicely.

We take security seriously. Here's what we do:

  • SSL encryption for all data transmission (that's the little lock in your browser)
  • Secure servers with regular security updates
  • Limited staff access - only people who need your info to do their job can see it
  • Encrypted storage for sensitive information like payment details
  • Regular security audits and monitoring
  • Physical security at our facility - locked file cabinets for paper records

Real talk though - no system's 100% bulletproof. We do our best, but if there's ever a data breach, we'll let you know immediately and tell you exactly what happened.

Under Canadian privacy laws (PIPEDA), you've got rights. Here's what you can do:

  • Access: Ask to see what personal info we have on you
  • Correction: Tell us if something's wrong and we'll fix it
  • Deletion: Ask us to delete your data (with some exceptions for legal/accounting stuff)
  • Portability: Get a copy of your data in a format you can take elsewhere
  • Withdraw consent: Change your mind about marketing emails or optional data collection
  • Complain: If you think we're mishandling your data, file a complaint with the Privacy Commissioner of Canada

Essential Cookies

These keep the site functioning - login sessions, shopping cart, basic navigation. Can't really turn these off without breaking everything.

Analytics Cookies

Help us understand how people use the site so we can make it better. We use tools like Google Analytics but we've configured them to anonymize your IP.

Marketing Cookies

Track whether our ads are working. We don't use a ton of these, but they might show up if you clicked through from an ad.

You can adjust your browser settings to block cookies, but some parts of the site might not work right. Most browsers let you control this stuff in the settings.

We don't hoard your data forever. Here's the breakdown:

  • Active members: We keep your info as long as you're training with us, plus a reasonable time after in case you come back
  • Former members: Account data stays for about 3 years, then gets archived or deleted (some financial records we legally have to keep longer for tax purposes)
  • Marketing lists: If you haven't engaged in 2 years, we'll probably remove you
  • Website analytics: Usually aggregated and anonymized after 26 months
  • Legal requirements: Some stuff (injury reports, waivers) we might need to keep for 7 years because of Canadian law

When we delete data, we actually delete it - not just hide it. Unless there's a legal reason to keep it, it's gone.

Our programs are designed for adults 18 and over. We occasionally run youth programs, but in those cases:

  • We require parental or guardian consent before collecting any info from minors
  • Parents have full access to their kid's information and can request deletion anytime
  • We only collect what's absolutely necessary for training and safety
  • Youth data is kept separate and has extra security measures

If you're under 18 and somehow signed up without parental consent, let us know and we'll sort it out immediately.

Privacy laws change, our business evolves, and sometimes we need to update this policy. When we do:

  • We'll update the "Last Updated" date at the top
  • For minor changes, we'll just post the new version here
  • For major changes that affect how we use your data, we'll send you an email or post a notice on our homepage
  • Continued use of our services after changes means you're cool with the updated policy
